* Local residents are those living within the boundary of the Warden Hill Community Association.  Those within this boundary will be in receipt of Warden Hill Residents Association newsletters.  Check with our lettings secretary if you think you qualify for local resident rates.

** Commercial/business's are any group that is not a Charity or a not for profit organisation and all groups that are run by individuals/organisations taking payment for their services..

Conditions of hire


CONDITIONS OF HIRE of Warden Hill Community Centre(to be retained by Applicant)

 

  1. Definitions: "The Hall" means Warden Hill Community Centre, including the kitchen, entrances, ladies and gentleman's toilets and the enclosed garden.  Please note that the garden areas with gates should not be accessed.  "The Hirer" means the person, persons or organisation making the application for the use of the hall.  "The Association" means Warden Hill Community Association and includes all persons authorised by the committee to act on its behalf.  Please note: the car park is not the Community Centre’s property, nor part of this hiring agreement.
  2. All applications for the hire of the hall must be made via Hallmaster.  If you need assistance with this, please ring the Lettings Secretary.  The booking will only be confirmed upon receipt of full payment, and confirmation that you have read these terms and conditions of hire.  Any increase in hire charge prior to the event date will result in an increased charge.  The Hirer will be required to pay a security deposit* immediately, followed by the hire charges, in full, not less than 14 days before the event takes place.  Failure to pay by the due date will result in cancellation of the booking and loss of security deposit.  Bookings made less than 14 days before date of hire must be paid in full at the time of booking.  (*The security deposit will be returned following the booking, subject to any deductions required).
  3. The times of hire must be strictly adhered to and the time includes time for preparation and for leaving the building.  The building must be left in a secure, clean and orderly condition, and all lights, heaters and appliances switched off.  Failure to adhere to this condition may result in all or part of the deposit being retained.
  4. Cancellations: The Association may, at their own discretion, and without assigning any reason, refuse an application received for the hire of the hall, or may cancel a booking made, and return the booking fee or any other money in full, if in the Association’s opinion the event proposed is considered to be against the general interests of the community.  The Association reserves the right at any time before the commencement of a letting to cancel the letting, in which case a refund will be made of any fee already paid by the Hirer, but the Association will not be liable for the payment of compensation to the Hirer or to any other person.  If the Hirer wishes to cancel the booking within 30 days of the event date the security deposit will be forfeited unless the Centre is re-let for the whole of the hiring period in which case this will be refunded.
  5. Conduct during hire: The Association reserves the right to enter every part of the Centre at any time and to refuse admission or remove from the Centre any person or persons believed, by the Association, to be undesirable without giving any reason.  No disorderly conduct shall be permitted.  The Association reserves the right to terminate the booking, at any time during the course of that booking, if the Conditions of Hire are not being complied with and the Hirer will not then have the right to reclaim any part of the fee.  The Hirer must respect the staff and volunteers of the centre and give due consideration to the owners and occupiers of neighbouring residential property and not cause them unreasonable nuisance or annoyance by noise or otherwise.
  6. Any furniture or property introduced by the Hirer shall be removed immediately following the period of hire.  No additions, alterations or adaptations of the Association fixtures, fittings or equipment shall be made, and nothing shall be affixed to the structure of the hall or the fabric of the hall, i.e. do not affix sticky tape or adhesive tack (i.e. blu tack) to any paintwork (ceiling, walls, cupboard doors) as the removal causes damage.  Please use the hooks supplied around the hall.  Damage caused by such fixings will incur a deduction from the security deposit.
  7. Breakages: The Hirer is responsible for the security and supervision of the premises, protection of the fabric and contents, safety from damage however slight, or change of any sort.  The Hirer shall indemnify the Association for the cost of repair (or replacement if the Association deems it necessary) of any damage done to any part of the property including the boundaries thereof or the contents of the building during or as a result of a booking.  If the Hirer and the Association are unable to agree the value of any such damage, then it shall be assessed by the Surveyor appointed by the Association.  The security deposit does not constitute any part of the hiring fee and shall be retained for a period of 2 weeks after conclusion of the hiring period and will then be returnable to the Hirer less any deductions necessary for the breakages or following a breach of any condition of hire.  The Hirer is responsible for drawing to the attention of the Association’s authorised representative before the commencement of the period of hire any defects alleged to be existing in the hall or its contents.
  8. Insurance and Licences: The Hirer shall be responsible for insuring against third party claims against him/his organisation whilst using the Community Centre.  (The Association is insured against claims arising out of its own negligence)  The Hirer shall be responsible for obtaining any licences necessary in connection with the booking, or to join with the Association in obtaining such licences, and to pay all fees and costs incurred in connection therewith, including Occasional Licences for the sale of intoxicating liquor, Occasional Public Entertainment Licences, and licences from PPL where recorded music is to be played on the premises.
  9. The Hirer shall be responsible for the observance of all regulations appertaining to the premises stipulated by the Licensing Justices, the Fire Authority, the Local Authority or otherwise ie; the law relating to gaming, betting and lotteries.
  10. The Hirer must limit the maximum number or persons in attendance to 80 persons as specified in the Rules governing the use of the Centre.
  11. The Hirer shall not sub-let or use the premises for any purpose other than that stated herein, or for any unlawful purpose, or in any unlawful way, nor do anything, nor bring on to the premises, anything which may endanger the premises, their users or any insurance policies relating hereto.
  12. The Hirer shall leave the Hall, fixtures, furniture and other apparatus clean, in as good an order and replaces as they were respectively before the commencement of hire.  If in the reasonable opinion of the Association the caretaker has had to be paid for additional cleaning work because of the failure of the Hirer to observe this condition, then the Association may deduct such payment and any other expenses from the security deposit.  All glass should be removed from the premises and under no circumstances should gas bottles be left in the hall or in the refuse bin.  The cost of removing and recycling such items will be deducted from the security deposit.
